Perpetual inventory

Stock updates while it moves, not once a year.

Perpetual inventory maintains a theoretical quantity as goods move in and out. It provides a continuous view of stock, but it does not remove physical checks. The system stays useful only when movements are easy to record and discrepancies are reconciled regularly.

Every movement matters

Receiving increases stock, consumption reduces it and an inventory correction resets the number to what was physically observed. Recording these events when they occur keeps the displayed quantity much more useful between full checks.

The method fails when the digital action takes longer than the physical one. For frequently consumed supplies, quick buttons, scanning and mobile access are therefore not cosmetic details. They are conditions for data quality.

Theoretical is not exact

Even good perpetual tracking drifts. Items are damaged, moved, partially consumed or simply forgotten. The application quantity remains a model of physical reality until somebody checks the shelf again.

A physical count confirms or corrects that quantity. The discrepancy should become an explicit movement so the history remains understandable and products with recurring process errors can be identified.

Alerts become more useful

When theoretical stock is reasonably reliable, thresholds become actionable between counts. A product can appear low before someone visually notices the last box, leaving more time to account for supplier lead time.

The same continuity improves coverage and forecasting. Both depend on current quantity and outgoing history, two inputs that lose value quickly when daily movements are not being recorded.

Combine methods

Perpetual inventory and cycle counting are not competing ideas. The first maintains stock continuously. The second physically verifies part of the catalogue at regular intervals so drift can be corrected without stopping all activity.

For a small team, this combination is often more realistic than a rare full count. Critical or fast-moving products can be checked frequently, stable references less often, with cadence driven by risk instead of one sacred calendar date.
